1. Scope and controller

This Privacy Policy applies to Wanderminds Account, wanderminds.ai, the Hermes Agent Chinese Community and its Discourse forum, Wanderminds desktop applications when they connect to our online services, and other Wanderminds-hosted products that link to this policy (together, the “Services”).

Wanderminds Inc is the controller of the personal information described here unless a product-specific notice says otherwise. Open-source software that you run entirely on your own device or infrastructure may operate without sending personal information to us.

2. Information we handle

Account and profile information

When you create or use a Wanderminds Account, we may process your email address, display name, profile image, password verifier, multi-factor authentication settings, passkeys, account preferences, and stable account identifier. We do not store your plaintext password.

Authentication and security information

We process sign-in timestamps, session identifiers, IP address, browser or device information, security events, token metadata, and records of account recovery or administrative action. These records help us operate login, prevent abuse, and investigate incidents.

Community and product activity

If you use our community, we process the content and metadata you choose to publish, including posts, replies, reactions, reports, moderation history, and notification preferences. If you use a connected product, we may process service requests, feature usage, diagnostic events, and the content you intentionally send to that hosted service.

Communications and transactions

We process messages you send to support, survey responses, and records needed to resolve a request. If paid products are introduced, we may receive transaction identifiers, plan status, billing contact details, and limited payment metadata from a payment provider; we do not intend to store full payment-card numbers.

Information collected automatically

Our infrastructure may create HTTP request logs, error logs, performance metrics, and abuse-prevention signals. Public website pages may be delivered through content delivery and security providers that receive basic request information as part of that delivery.

3. How we use information

We use personal information to:

  • create and secure your Wanderminds Account, authenticate you, and keep sessions working;
  • provide community, desktop-connected, memory, and other hosted product features you request;
  • send essential messages such as verification codes, password resets, security alerts, moderation notices, and service notifications;
  • prevent spam, fraud, credential abuse, and attacks, and enforce our Terms and community rules;
  • diagnose failures, maintain reliability, measure aggregate service health, and improve our Services;
  • respond to support, privacy, legal, and account-administration requests; and
  • comply with law and protect the rights, safety, and integrity of users, Wanderminds, and the public.

Where applicable law requires a legal basis, we rely on performance of our contract with you, our legitimate interests in operating and securing the Services, your consent where requested, and compliance with legal obligations.

4. When we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We may disclose limited information in the following circumstances:

  • Service providers. Hosting, content delivery, email, authentication, monitoring, support, anti-abuse, and payment providers process information for us under contractual or technical restrictions.
  • Public community activity. Posts, profile details, and other content you choose to publish are visible according to the community’s access settings and may be indexed or copied by others.
  • Legal and safety needs. We may disclose information when reasonably necessary to comply with valid legal process, investigate abuse, prevent harm, or protect rights and security.
  • Business changes. Information may transfer as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to this policy or notice of materially different treatment.
  • At your direction. We share information when you intentionally connect a third-party service or otherwise ask us to do so.

5. Cookies and local storage

Our account and community services use cookies or comparable browser storage that are necessary for sign-in, session continuity, security, language, appearance, and preference settings. Connected desktop applications may store authentication credentials in the operating system’s secure credential store and keep non-sensitive preferences locally.

Blocking required cookies can prevent account and forum features from working. If we introduce non-essential analytics or advertising technologies, we will update this policy and provide any consent controls required by law.

6. Retention

We retain personal information only as long as reasonably necessary for the purposes described above. Account data normally remains while your account is active. Community content may remain until you remove it, a moderator removes it, or your deletion request is processed, subject to preservation of discussions and the rights of other participants.

Security and operational logs are kept for a limited period appropriate to investigation and reliability needs. Support, transaction, moderation, and legal records may be retained longer where needed for disputes, fraud prevention, accounting, or compliance. Deleted data may remain temporarily in encrypted or access-controlled backups until those backups rotate out under our normal retention schedule.

7. Your choices and account deletion

Depending on where you live, you may have rights to access, correct, export, delete, restrict, or object to our processing of personal information, and to withdraw consent. You can change many profile, password, passkey, MFA, and session settings in the Wanderminds Account Center.

Request account deletion

Email [email protected] from the email address associated with your account with the subject “Wanderminds Account deletion request.” We will verify control of the account, identify connected product data, and confirm completion or any lawful exception. We aim to complete verified requests within 30 days.

Deletion may not immediately erase content that other users have quoted or records we must keep for security, legal, or transaction purposes. Where appropriate, we will de-identify retained community content and disconnect it from the deleted account.

You may also complain to the data-protection or consumer-protection authority that has jurisdiction where you live. We will not discriminate against you for exercising a privacy right.

8. Security and international transfers

We use technical and organizational safeguards designed for the nature of the information we handle, including encrypted transport, access controls, separated application credentials, multi-factor authentication options, logging, backups, and recovery testing. No system can guarantee absolute security, so you should use a unique password, enable MFA or a passkey, and promptly report suspected compromise.

Wanderminds is based in the United States and may use providers or infrastructure in other countries. As a result, information may be processed outside your country of residence. Where required, we use contractual, legal, or technical safeguards intended to support lawful transfers.

9. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from them. If local law requires a higher age to consent to online services, users below that age must have permission from a parent or legal guardian. Contact us if you believe a child provided information without valid permission.

10. Changes and contact

We may update this policy as our Services, providers, and legal obligations change. We will post the new version here, change the effective date, and provide additional notice when a change materially affects your rights or how we use personal information.
